    HR events

    Use an HR event when a change needs a decision type, effective date, reason, processing state, and before-and-after history. Do not use an event for an ordinary typing correction when the profile form permits a direct edit.

    Common event lifecycle

    Draft → Pending approval → Approved - awaiting effective date → Applied

    • An event may skip approval when the organisation has no approval route for that type.
    • Approved does not change a profile early when the effective date is in the future.
    • After Applied, inspect the profile and related hand-offs. Do not infer the result merely because a dialog closed.

    Position and organisation changes

    Promotion Moving to a higher position by decision Primary position and effective date

    Job title change Changing position without describing it as a promotion or demotion New primary position
    Transfer Changing primary department Primary department, group membership, approvers, and access hand-off

    Adding someone to a group does not replace a Transfer event. A transfer does not automatically update every role, KPI assignment, or payroll setting.

    Employment-stage changes

    Event Use when Check after application
    Start long-term leave The employee enters an extended absence Leave type, employment stage, start date, and expected return date
    End long-term leave The employee returns to work Actual return date, restored stage, and next work schedule
    Probation review Recording a pass or fail decision for a probationer Employee state and any resulting hand-off
    Extend probation Extending probation under an approved basis New probation end date
    Employment termination Starting offboarding Offboarding state, last working day, and hand-off checklist
    Rehire Returning a former employee on the existing profile New start date, state, position, and contract

    Offboarding complete is generated when offboarding conditions and the last working day are satisfied. A user does not create it manually to bypass the checklist.

    When deciding a long-leave event, Approvals shows Leave type and Expected return date for a start event, or Actual return date for an end event. Review those values before deciding. If the page says Checking approval permission, wait for loading to finish; that temporary state is not a denial.

    Decisions and records

    Data correction Correcting history through an authorised route Must preserve before-and-after values and reason; not a normal edit shortcut

    Events with a separate creation path

    • Recruitment is served by profile creation and onboarding; do not create a separate recruitment event merely to add a new person.
    • Contract conversion required is identified for HR review; it does not mean the contract has changed automatically. When work is pending, the Lifecycle alert shows the actual contract count and an Open lifecycle action. It opens the list filtered to the Draft conversion requests. Review each request and its active contract before applying the organisation’s decision.
    • Offboarding complete is generated after the relevant milestone.
    • Data correction appears only within an allowed scope and action path.

    Choose the right action path

    • Change position or primary department: open HR → Employees or Lifecycle and create the corresponding event.
    • Move an employment stage: use Change stage in Lifecycle.
    • Create a person: use New hire.
    • Terminate or rehire: use Offboard and rehire.
    • Promote, demote, change title, or transfer: use Career and job changes.

    If an event does not apply as expected, open People and organisation issues.
