Tax-exemption requests
Required outcome
The employee creates one accurate exemption request, attaches evidence to that request, and can follow its decision. The assigned reviewer acts only while it is Pending, entering the correct Approved amount or a useful Rejection reason.
Requester: the employee using their own self-service access.
Decision owner: the person assigned to review tax exemptions for the corresponding employee scope.
1. Employee checks before creating
Open Personal → Tax exemptions.
- Use All, Pending, Approved, and Rejected to find an existing request of the same type.
- Read its latest state and Approved amount.
- Create another request only when no corresponding request exists or the underlying basis has genuinely changed.
This check avoids duplicate requests for the same basis. Do not create another request merely to retry a document upload.
2. Create the request
- Select Create exemption request.
- Select the Exemption type.
- When requested, enter Number of dependents as a positive whole number.
- Enter a Requested amount greater than zero.
- Read the displayed Maximum limit. For a dependant exemption, the limit is calculated from the count entered.
- Select Submit request once and wait for the result.
Result to confirm: the request appears with its type, amount, submission date, and state. It is normally Pending. If the organisation uses automatic approval, the screen confirms that outcome and shows Approved immediately.
If validation fails, focus returns to the first field that needs correction. Do not lower the amount arbitrarily to pass validation; reconcile the exemption type, dependant count, displayed limit, and supporting basis first.
3. Add supporting documents
On the new request, open Exemption documents in the Documents column.
- Enter the Document type, such as dependant evidence required by company policy.
- Select Upload document, choose the intended file, and wait for the success message.
- Reopen the document list and confirm that the correct item appears.
- Use Delete exemption document only when the file is genuinely no longer needed; deletion cannot be undone.
Do not upload one person’s evidence to another request merely because the exemption types match.
4. Assigned reviewer decides
Open Payroll → Policies → Personal income tax → Exemption requests.
- Select the intended employee by name.
- Open a Pending request and review the exemption type, dependant count, submission date, amount, and supporting documents.
- To accept it, select Approve, enter a valid Approved amount, and confirm.
- To decline it, select Reject, enter a Rejection reason that tells the employee which basis is not adequate, and confirm.
Only Pending requests offer decision actions. Do not create another request on the employee’s behalf to bypass an already-decided state.
Result to confirm: the request becomes Approved with an Approved amount, or becomes Rejected. The employee sees the new state in self-service.
If the result is not right
- The request cannot be submitted: correct the first invalid field; the amount must be greater than zero and within the limit, and the dependant count must be a positive whole number.
- A document cannot be uploaded: confirm that the request appears in the list, open its Documents action, enter a document type, and choose the intended file again.
- Approve or Reject is missing: confirm that the request is still Pending, the intended employee is selected, and the account owns the decision step.
- A decision or document was attached to the wrong request: stop further action, retain the visible details, and ask an administrator or Support for help. Do not create an opposing record to compensate.

The journey is complete when
