For employees
Rifena helps you monitor your own information and send requests to the person who needs to act. Start from Employee Portal or My home. What you see depends on the policies and access your company has enabled.
Start of day: check your schedule and attendance
- Open Employee Portal to see the current attendance state, recent requests, leave balance, and this week’s shifts.
- Open Work schedule when you need to confirm today’s shift or event.
- If your company records attendance in Rifena, use the action shown, such as Check-in or Check-out, and provide any required evidence.
- Wait for the success message, then read back the recorded time.
If the time, shift, or state is wrong, do not create several entries to “try again”. Note when it happened and ask HR to correct the actual record.
When you need leave or overtime
Open the relevant action from Employee Portal, then follow the leave and overtime workflow. Before submitting, check:
- request type and date range;
- hours or days;
- cover person, reason, and supporting document when required; and
- who owns the next approval step.
You can withdraw or cancel while that action remains visible. If the request has already been processed or affected attendance, contact HR instead of creating an opposite request to offset it.
When you need a tax exemption
When your company grants access, open Personal → Tax exemptions.
- Check the state filters to avoid creating a duplicate request.
- Select the exemption type, enter the dependant count when requested, and enter an amount within the displayed limit.
- Submit, then open Documents to add the evidence for that request.
- Follow Pending, Approved, or Rejected. When approved, read the Approved amount instead of assuming it matches the requested amount.

When you need an advance or reimbursement
When your company enables it, open Personal → My advances or My reimbursements.
- Choose the correct request type.
- Enter the amount, purpose, date, and required payment details.
- For an expense claim, attach clear evidence before submitting.
- Follow its state; treat the money as complete only after payment is confirmed, not merely because the request is approved.

Each week: review pending work
- Open Notifications and act on items with a clear next step.
- Check Work schedule for a missing or overlapping shift.
- Review pending requests. Read a return or rejection reason before correcting and resubmitting.
- For tax exemptions, confirm that evidence is attached to the intended request and read its latest approved amount.
- If your menu includes My KPI or My training, complete assigned work before the displayed due date.
When you receive a payslip
Open Personal → Payslips, select the correct period, and check at least:
- workdays or hours used in the calculation;
- earnings, allowances, and deductions;
- net pay and payment state; and
- receiving account details when displayed.
For a difference, ask about the payslip period and named line item. Do not post a complete payslip in a public channel. HR and payroll actions are covered by the monthly payroll cycle.
When you change account settings
Open Account, then choose:
- Profile for personal information your company allows you to edit;
- Security for sign-in methods supported by the organisation;
- Notifications for notification types and delivery channels; or
- Preferences for language, appearance, and other personal settings.
Never share verification codes, recovery codes, or a signed-in session. See Roles, access, and account security.
Before you leave the task
- The action has a success message or an unambiguous new state.
- The request shows the correct dates, amount, and next owner.
- The attendance entry or payslip belongs to the intended period.
- You did not create a duplicate while waiting for a response.
If one of these is not true, open Support and note the screen name, time, current state, and action you just took.
